Review of events
Valentine's Disco - David Stevenson was not at the meeting, so we did not know how much money PTFA made at the event. On the whole though, it was a successful evening and the children seemed to have enjoyed it. Learning points:- Hold the Disco on a Friday (or the last day of school) if possible, as a number of KS2 children didn't turn up on the Thursday night as it was school the following day
- There was a long queue, especially for the KS2 children waiting to go in at 7pm. We agreed to experiment with using 2 doors in the future - 1 door to let the KS1 children out and the other to let the KS2 children in. We could also put slips in Book Bags in advance so that they can be completed and handed in on arrival at the Disco. Or we could have a list of KS2 children and their contact details on a wall and they would tick against their names as they go into the Disco. Sally Stevenson to try out one or more of these options for the Autumn Disco.
- Trupti Desai and Steph Maynard to investigate an alternative DJ for the disco as our current DJ has put his price up and we decided that it would be better to try out someone new.

Future fundraising events and dates
- Easter Bingo - on Friday, 16 March at 730 pm. Everything's in Katie Harrison's and Claire Ward's very capable hands. They have put flyers in Book Bags, but haven't had much response so far. Katie, Laurie and Libby Harrison will put flyers through doors in the village to generate more interest in the event. Carole Price to also put a flyer at the Cat and Fiddle pub. There are flyers at Londis and Half Moon Inn.
- Music Night Raffle - The School Music Night is on Wednesday, 21 March. Cathy Jermey will need help in selling the raffle tickets. Several people volunteered to help including Trupti Desai, Claire Ward and Julie Rogers.
- Easter Sponsored Walk - Sally Stevenson and Mandie Rose are organising this event, which will be held on Friday, 23 March. Trupti Desai to copy Sally Stevenson all the relevant documents. We'll need lots of volunteers to help out on the day. Sally Stevenson to co-ordinate this.
- Queen's Diamond Jubilee - This is called Celebration Day now. It will be on Thursday, 31 May and will be a triple-launch - the school will open the lovely library, unveil the plaque on the 'new' building, and celebrate the Queen's Diamond Jubilee. It's still at the ideas' stage, but it's likely children will be asked to bring in food, which will be laid out on long trestle tables outside the school building, there might be a King and Queen chosen from each class, a Crown competition, a procession, lots of bunting, and children will be asked to dress in red, blue and white (in return for a donation of £1, which will go towards Sports Relief??). Red, blue and white will be the colour themes of the day. Mike and Kate Howe have kindly agreed to donate a big cake for the occasion. Louise Herbert, Carole Price and Julie Rogers are organising the event. Please speak to them if you have any further ideas.
- Summer Fęte - to be held on Sunday, 24 June and to be led by Carole Price. Although there will be a separate planning meeting for the Fęte, it was suggested that we have a baking competition, a stall for second-hand school uniforms in good condition, a Nerf gun competition and launching of the 100 club (see 6.3 below) this year.
- Autumn Disco - to be held on Thursday, 25 October from 545 - 645 pm for Key Stage 1 children and 7 - 8 pm for Key Stage 2 children. See 2 above. Sally Stevenson to lead on the event.
- Bag2School Collection - The first collection is on 7 March
and already there's been an enthusiastic response from families
who've brought in lots of bags with clothes. The class with the
most bags (heaviest load) will receive a prize(?). Many thanks to
Carole Price for launching the excellent scheme. There will be
another collection in September.
Grounds Day
- on Sunday, 20 May. Louise Herbert to organise.
Foyles Grant
- the school has put in a bid for £5K to develop the library area. Unfortunately, there's a 4-month backlog, so we won't know whether or not the bid has been successful for a while yet. Louise Herbert will keep us informed.

AOB
- Trupti Desai to put an advertisement for the PTFA Treasurer post in the April edition of Clyst Valley News. Elena Steers will advertise it in the Friday Flyer.
- We need to publicise more explicitly what PTFA funds are
spent on in order to attract more interest from parents and
families:
- Julie Rogers agreed to put up a 'thermometer' chart(?) that would give a broad breakdown of the money we generate from events and all the fantastically good causes it goes to...
- Steph Maynard also agreed to design and manage a regular PTFA newsletter on forthcoming events, money generated from individual events and what the money is spent on...
- Louise Herbert agreed to put colourful labels and / or 'bubbles' on anything bought with PTFA funds to raise awareness of just how crucial the money is to enhance our children's school experience
- Each committee member will try and bring at least one new person to the next PTFA meeting
- 100 Club - Carole Price (now Trupti Desai) to look into setting the Club up. Basically, it will raise funds for the PTFA. Parents, families and school staff can join the club through a subscription and each month say, 3 entries would be picked and they'd win prize money. We agreed to launch the club at the Summer Fęte.
- The date of the next meeting is on Tuesday, 1 May at 730 pm at
the Half Moon Inn (Trupti Desai to investigate whether we can meet
there and if they'll throw a bowl of chips in while we cogitate on
important matters).
The date of the planning meeting for the Summer Fęte is on Wednesday, 23 May at 730 pm. Venue to be decided.

- Agreed everything in order and correct

Review of events
- Autumn Disco - went really well, was well attended and made a record-breaking surplus of £179.05! Glow sticks / tattoo / face-painting sold very well. Should buy more glow sticks for future disco nights
- Quiz Night - another fun event (for parents this time) and did very well, making a total of £188.55!
- Nativity Raffle - Again, did really well raising a total of £225.40
- Christmas Market - although this event raised £22.39, it was agreed that this was an event worth running again, as it was such good fun, especially for the kids
- Christmas Dinner - children really enjoyed this event. There were quite a few bits and bobs left from the 'lucky dip', which Carole suggested we use for the Summer Fete
- Christmas Wreath Workshop - the workshop was really
well-attended this time and there was a lot of positive feedback.
Lots of fun was had by all concerned and it raised a total of
£160 for the PTFA! The money has not been paid yet to PTFA - Gill
Clavey to hand it over to David Stevenson.!
A massive thanks to all those who organised the above events and to all those who helped out too. They were all so well-organised and run that it was suggested that in the future, each event should have one lead person managing it who would then call on others to help them.

Future fundraising events and dates
- Valentine's Disco - to be held on Thursday, 9 February from 545 - 645 pm for the Key Stage 1 children and 7 - 8 pm for the Key Stage 2 children. See 2.1 above. Trupti Desai to confirm with DJ Clive Harrard and Carole Price to lead on the event. (Now confirmed by Trupti. Clive Harrard will run both the Valentine's Disco and the Autumn Disco and charge £140 for each night.)
- Easter Bingo - we've never run this before and it was agreed that we should try it this year for adults only. It will be held at the school at 730 pm on Friday, 16 March. Katie Harrison to lead on it and Claire Ward to help her.
- Music Night Raffle - The School Music Night is on Wednesday,
21 March. Steph Maynard will organise the Raffle
and it was agreed that Cathy Jermey should help
her.
It was suggested that Katie and Steph should liaise with each other re collection of Easter Eggs from parents for events 3.2 and 3.3. - Easter Sponsored Walk - this is usually a very profitable event for the PTFA and children generally enjoy it. It will be held on Friday, 23 March (the date has changed since the PTFA meeting) and will be managed by Sally Stevenson and Mandie Rose.
- Queen's Diamond Jubilee - The school will organise a party to mark the Jubilee. There was much discussion during the meeting, and it has moved on a bit since our discussions. Louise Herbert and Carole Price will let us know when the event takes shape. It was also suggested that Julie Rogers buys white, blue and red material and the school gives each child a triangle to draw / paint / stitch on and all the triangles will then make a bunting for the street party. The bunting could then be extended for future events and for new children coming in, so eventually the school will have a lovely, long bunting to remember the children and to use for future events...
- Summer Fete - to be held on Sunday, 24 June and to be led by Carole Price.

- Bag2School Collection - a new initiative to be set up by Carole Price. She will ask parents to bring in bags of unwanted clothes and these could then be sold on to an organisation, thereby raising funds for the PTFA. It was suggested that we try this twice a year, starting this month.
- Grounds Day - possibly on Sunday, 20 May. (the date has changed since the PTFA meeting - Louise Herbert to confirm). She suggested that this year, the school will plant about 10 - 12 medium to large pots for the Summer Fete, as they don't always sell that well.
- Foyles Grant - the school is in the process of applying for a grant to the Foyles Book Trust in order to develop a new school library. The library will be in the Reception area and work to convert that area will start during the February half-term. The school has to apply for the grant in conjunction with the PTFA and the School Governors. It was unanimously agreed that this was a brilliant initiative and will be a good way to involve both parents and children in the running of the library.
- AOB - David Stevenson would like to stand down as the Treasurer
and it was agreed that this time, we should advertise in the Clyst
Valley News to see if an external person is interested in taking up
the post. Trupti Desai to draft the advert. The AGM
will be held in the summer term.
There was a suggestion to run the Christmas Bazaar again this year, and incorporate the Christmas Market (anything else?) within the Bazaar. There was concern that this could be a lot of work for the school, especially during a busy time anyway, so Louise Herbert agreed to consult the teachers for their views and then let the PTFA know... - The date of the next meeting is on Tuesday, 6 March at 730 pm at the school.

Appointment of new Chair
- Many thanks to Mike Howe for acting as chair during the past year and to Carole Price for agreeing to take over as chair (with Mike as vice-chair). Thanks also to Martin Coats who offered his support and to chair meetings if possible when Carol and Mike are unavailable.

Events - review
Summer fete
- It was generally agreed that this event went well. The money raised exceeded expectations. Full details are available in the treasurer's report.
- It was suggested that a list of stalls and a plan of where they are to be situated would be useful in the future and make setting up and the distribution of floats far easier.
- Individuals running stalls are to be on site in advance to set up rather than just turning up to help
- The provision of more bins, especially around the BBQ area, would be useful during the fete and would help with clearing up at the end

Disco - Thursday 20th October (last day of half-term)
- KS1 5.45 - 6.45
- KS2 7-8.15
- Nicola Blacker suggested offering face painting and/or glitter tattoos on the evening. Gill Clavey will help.
- Glow sticks were very popolar last year and will be offered again, along with bracelets and necklaces if possible - Nicola offered to buy these
- Jolie Rogers offered to make a list for volunteers to put in the PTFA window. Volunteers on the night included Sally Stevenson, Tracy Gristy, Cathy Jermey
- Tickets will be for sale on the door on the night - £2. Money will be collected outside.
- KS1 and KS2 print-out of names to be used to allow children to be signed in and out.
- David will bring float and payment for the DJ to school on the day.

Bingo Evening - possibly around Easter time
- A license would be needed for this. The same license could be used for other events during the year. The cost would be £40. It was agreed that this would be useful to have. Mike to go ahead and obtain and hold the license.

Christmas Quiz to be held on the 25th November at 8PM
- Jolie Rogers to source questions.

Dance/Music evening at the village hall.
- Shelley (Maddie's mother - class 2) has kindly agreed to sing for free. Shelley will confirm the cost of the band.
- Carol has reserved four dates at the village hall.

Treasurer's report
- David presented a Full report. This is available in the PTFA window
- Very positive report - PTFA funds healthy

AOB
- Louise Herbert asked for funding for an overhaul of the school library. This would involve liberating half her office space to make a Full functioning library in the reception area. The school would fund the cost of the building. The PTFA would be asked for an estimated £2,500 to pay for stock, seating etc.
- Elisabeth Ostrom suggested several money-saving and fund-raising ideas, including Tops for Books (she is sending details to parents via Elena), Usbourne Books (which she can obtain at a 40% discount plus giving her commission), Easy Fundraising and TerraCycle (written details to follow), solar panels (which has been investigated in the past but was not found to be worthwhile at the time), and a 100 Club (Steph's school is already running a similar scheme and she offered to find out the details)
- Jolie Rogers suggested having a visible target (Blue Peter style) outside the school to illustrate the amount of money raised for specific targets
- Carol reminded us of her request for funding for storage for lunch time activities (£99 for general storage) and £5.99 for school costume storage. This had been agreed previously. She had also requested a donation or Breakfast Club from the profit from the Summer Fete - £100 - as she was unable to raise money on the day
- Louise Herbert said a PTFA newsletter would be welcomed by many parents
- Raffle for the Nativity play evening to be arranged at the next meeting

- Friday, 17 June or Friday, 1 July Trupti Desai to confirm with Mandie Rose which one it is. Mandie has now confirmed the date to be Friday, 17 June
- Julie Rogers, Cathy Jermey and Helen Muscutt to organise the cream teas. It was suggested that hot drinks are served in cardboard / polystyrene cups to save the hassle of transporting the crockery to and from the field and also to solve the problem of running out of cups and saucers... Louise Herbert promised to make use of the used cardboard cups afterwards. Carole Price to find out where to buy value-for-money cups from
- Summer Fęte
- Sunday 26 June Mike Howe is leading on this event
- Marquees to be set up on Friday 24 June at 1730h-ish to ease pressure on Sunday. Will need lots of strong hands to help with this
- Special fęte letter with Silent Auction items on the back to be sent out to all parents in the week of 6 June Mike Howe to write the letter and organise this
- A representative from Exeter Chiefs to open the fęte and / or come dressed as the mascot or lend us the mascot costume(s) for a parent to wear and mingle with the crowds? A signed rugby ball could also be given away as a prize... Michelle Jackson / Lizzie Gray / Rachel Elliot to explore
- Theres only one barbecue, so PTFA will buy another one - ? to follow this up
- Since the French café had limited custom last year, everyone agreed to try out small pasties and tea instead to see whether they would draw more customers. Louise Herbert to check with the governors that this is okay
- Ice-cream stall to be put with the pasties and tea café to draw people into the café. Louise Herbert to check with Wendy Laverack (?) to see if she can still provide a freezer for the ice-creams
- It was agreed to keep the book and DVD (but not video) stall as people and children enjoyed buying them. Devon Air Ambulance gratefully took away all the leftover books and DVDs last year. Louise Herbert to ask them to do the same again this year. We need to be more specific about what kinds of books we want
- The committee decided to have a spot the ball competition instead of a treasure map stall. Julie Rogers to find out how much it would cost to have a big poster up and to obtain a signed football from Exeter City (?) as a prize
- Face / nail painting and tattoos Cathy Jermey to find out from Pre-School whether they have any tattoos left over and whether theyre prepared to give / sell them to us (Since the meeting, Martin Coats has spoken to Verity (?) and she said that she had plenty of tattoos that she was willing to give away for the fęte. Helen Muscutt has also agreed to buy nail varnishes in a variety of colours. What about face paint?)
- Water into Wine stall Trupti Desai to write to parents about bringing in full and empty wine bottles in the week beginning 23 May
- Penalty shoot-out Mike Howe to explore with Exeter City and Lizzie Gray with the Riverside to see if 2 of their staff can help with the penalty shoot-outs
- Fashion Club Lucy Carpenter to hold a fashion show and a class one mum to sing to it

- Bar stock up with cider, lager, bitter, Pimms and water Mike Howe now has the licence.
- Moshi Monsters and Milkshakes Bar Since the meeting, Julie Rogers asked if we could have this stall. Mike Howe has very kindly agreed to provide us with free milk; so all wed need are mountains of Moshi cards and liquid (or failing that, powdered) flavours to produce colourful (!) milkshakes. Thered be competitions and prizes. Lizzie Gray has agreed to manage the stall
- Coconut shy The committee agreed that it would be good to have this as it is generally a popular game Carole Price to find out how much it would cost to hire one
- Human fruit machine Another idea that wouldnt cost much, but could be a money-spinner!
- Balloon modelling one of Nicola Blackers colleagues does balloon modelling and would be happy to walk about at the fęte making models for the kids. He would take 20% of the money raised to cover his time and expenses and the rest would go to PTFA funds. The committee agreed that this should go ahead. Nicola Blacker to co-ordinate this
- Fair ride Mike Howe is still investigating with Rowlands Fair (?) to see which ride (if any) they can spare on 26 June

- Silent Auction
- Sunday, 26 June. Katie Harrison, Tracy Gristy and Claire Ward are leading on this event
- It was strongly suggested that we should make the event electronic this year, as having the list of items and different bids on pieces of paper made it chaotic, confusing and time-consuming in the past
- A TV screen (David Stevenson offered to lend his if there wasnt one forthcoming) showing the items and bids to be put out with the other stalls so that the auction is physically part of the fęte
- Ownership of the auction will have to carry through until all the prizes are allocated this might be a few days after the fęte is over
- The auction will close at around 1450h, just before the fęte finishes
- Once the list of items is finalised, Katie /
Tracy / Claire should ensure that:
- the list is sent out in book bags together with Mike Howes letter on the fęte (see 3.2) in the week of 6 June
- it is sent electronically with the 17 June Friday Flyer
- an A3 poster goes on a wall in the school for all parents to see
- it is also sent to Darren Schroeder so that it can go on the school website

Sally Stevenson asked if childrens scooters could be parked / locked away during school hours. This would save parents having to take them away and bring them back after school. Louise Herbert said that parents were welcome to use the 6 cycle racks at the back of the school as long as they werent being used by year 6 children and that they did not obstruct the fire exit. The scooters would also have to be left at the parents risk. -
Next meeting
This is on Tuesday, 21 June to finalise arrangements on the Summer fęte. It would be great if everyone involved could please come to the meeting.

- Valentine's Disco
- On Friday, 18 February. Sam Chandler's organising it and has volunteers to help
- More volunteers might be needed, especially at the crisps counter (depending on demand). Please contact Sam if you can help out
- Volunteers need to arrive at 1745h
- Reading Breakfast
- Louise Herbert and colleagues to organise this event for parents to read with their children over breakfast at the school on World Book Day on Thursday, 3 March
- Mike Howe to see if he can provide (hot or cold) pancakes and syrup for the breakfast. If not, it'll be a continental breakfast
- PTFA to provide funds for the event
- It'll be dress-up day (in a book character?) for the children on Friday, 4 March
- Music Night
- On Wednesday, 30 March
- Emma Ford to organise an Easter Egg Raffle for the night (NB - it'd be great to offer a prize to the child donating the best Easter Egg in each class. It worked as a good incentive with the Christmas presents)
- Grounds Day
- On Sunday, 15 May - Louise Herbert to confirm
- Sports Day
- On Friday, 17 June or Friday, 1 July - Mandie Rose to confirm the date and organise
- Summer Fęte
- On Sunday, 26 June. Mike Howe to lead the event
- Silent auction (to be held at the Summer Fęte)
- Katie Harrison, Claire Ward, Tracy Gristy and possibly Sally Stevenson to form a sub-committee to manage this demanding project. Helen Muscutt and Julie Rogers to provide business contact details to approach for possible prizes. The committee will see the event through and run the silent auction stall at the Summer Fęte
- Valentine's Disco
- Class One needs a wooden play-house , for which PTFA has agreed to allocate £200 (subject to confirmation from Nigel Blacker / David Stevenson)
- Next PTFA meeting is on Tuesday, 5 April at 1930h at the school.
