Review of previous events - Sponsored Walk & Musical Express
Thanks to all volunteers and Leads for preparation and help at events. Also apologies from Gill (Co-chair) for lack of committee support at these events
Nigel estimated profit for SW-£399.00 and £237.00 for raffle
ACTIONS -
Co Chairs to support all Lead names for each event, any committee
member available for support who will then liaise with Co Chairs as
necessary.
Always to have a raffle at each production
Treasurer’s Report
a) Nigel updated meeting with Report (see website and PTFA notice
board for copy)
b) discussion with those present re what has been bought or proposed
or confirmed to have been bought by Louise.
Proposal that school prioritises decision over what is bought for the
benefit of the whole school. If parents want to have an opinion about
what is bought they can attend the PTFA meetings.

b) Martin to check the PTFA constitution that if 5 people present 2
of committee members decision can made

Class room representatives
- Julie R has spoken to all reps who have given permission for
their photo and a description of their role to be put up in their
respective class rooms

Class 5 – Julie Jukes - All photos/shadows removed from website – named roles only

Sam collect reps email addresses so that information of PTFA
events/minutes/activity etc can be sent to them
Grounds Day – 16th May 2 pm - Description of event – social occasion for parents / children and teachers to meet and support the school with minor repairs / fence creosoting/painting / pond clearing / planter making to sell at school fete etc - ESSENTIAL to wear old clothing. Followed by BBQ for all those lending their time and skill – not forgetting the children.

- Need paper plates / cups

Sports Day – 11th June - 1330 races start at CSM football field

Summer fete – 27th June 12-1600
- Further discussion about the type of stalls etc to be considered for the fete
- Planned PTFA meeting for further discussion of this event 26th May
- Already have some volunteers and some suggestions for other stalls (these people to be approached and asked)
- Toy collections pre fete / up marquees /gazebo
- Alcohol licence

Extended schools coordinators – Julie to define role and with Barbara

- Carol from breakfast club is organising World Cup Party at CSM Village Hall on the 5th June 7-730pm. Costing £22.00 pp includes 2 course meal, Disco, Bar –proceeds supporting school breakfast club and costumes for end of year school production.
- Leavers assembly to have cream tea after (10am)(sort details at next meeting)
- Request for funding from last meeting

Louise to review and prioritise requests looking at alternative sources of e.g. goal posts – Sainsbury vouchers, and with Ellie Video equipment via Tesco vouchers and check out whether school could video record and sell DVD of school productions

Review of previous event - Valentines Disco:
- Thanks to all volunteers for preparation and help on the night
- Nigel estimated that approx. £173.85 taken but costs £125 (disco) + crisps and drinks to be deducted
- Discussed safety of event in case of fire and ensuring allocation of parent helper to man all exits – which went well on the night
Autumn Disco planning:
- Need to re book date for this disco as school calendar has shown it is a non pupil day
Proposed event – Easter Sponsored Walk – 26 th Mar 1330-1500:
- In aid of PTFA
- If it rains event to be rescheduled for the 1st April
- Event lead name – Julie Jukes
- Children to bring their own water bottles
- Need approx 15 volunteers

Discussion of future of PTFA
Martin explain that all the current committee had enjoyed their time
serving in their various roles in the PTFA but they now wished to
step down and for new committee members to be elected. Martin
outlined the various roles, what fund raising events had been carried
out in recent years. Mrs Herbert thanked the committee for their work
to date and highlighted what a difference the money from the PTFA had
made to school. Mrs Herbert suggested that in the future rather than
the whole committee being involved in every event hosted perhaps
there could be one major event per term with different people each
time taking the responsibility for managing the event.
New Committee Members Elected
Gill Hutchings – Co-Chair
Samantha Chandler – Secretary
Martin Coates agreed to stay on the committee as Co-Chair
Helen Muscutt kindly agreed to continue as treasurer until the next
PTFA meeting while a search is made for a new treasurer.
Failure to find a new treasurer by the next meeting will result in the disbanding of the PTFA.
Classroom Reps
Discussed the role of the class room reps – to net work with parents
to encourage their involvement in school activities – assisting
teachers to find volunteers or selling tickers to events or
encouraging parents to attend PTFA meetings or take roles in PTFA
fundraising events.
Julie Rogers agreed to talk to current classroom reps about their role and whether they are willing to remain in position and take a more active role.
Dates For the Coming Year (some provisional)
- Valentines Disco – Friday 12th February
- Easter sponsored walk - Friday 26th March
- Music Express Raffle - 31st March
- Groundsday Sunday 16th May. Mrs Herbert to organize with the PTFA organising a BBQ
- Sports Day 11th June
- Fete Sunday 27th June 12 - 4pm. (Julie & Helen agreed to organize silent auction)
- Autumn Half Term Disco Friday 22 October
- Barn dance - November 2010. Suggested that this will replace the Christmas dinner dance. Deposit to be paid in advance. Children will be involved, perhaps performing a dance. Claire will check available dates of village hall and Gill will contact the band Redshed re. their availability.
